Hiring: Coffee Cart Events Coordinator
The Coffee Cart Events Coordinator role in Yardstick is resposible for the overall management of coffee cart events, in-café event collaborations, and other café-related activations such as booth selling and festivals. The ideal candidate must have a passion for coffee, excellent organizational skills, and a proven track record in event management, client acquisition, and operations management. This role oversees the execution of coffee cart events, manages bar operations, drives client acquisition, and ensures the successful execution of all events requiring café operational support.

Responsibilities:
Event Management
- Coordinate and supervise coffee cart events, ensuring smooth operations from setup to teardown.
- Liaise with clients to understand their needs and customize our services to meet their expectations.
- Manage event staff, providing training and support to ensure high-quality service.
- Ensure all equipment and supplies are prepared and transported to event sites.
- Handle any issues or emergencies that arise during events, ensuring client satisfaction.
- Develop event timelines and schedules, ensuring all milestones are met.
- Evaluate event success and gather client feedback to improve future events.
- Ensure all permits and licenses are obtained for events, complying with local regulations.
- Oversee and coordinate café-based collaborations and activations, including booth selling, in-store events, and participation in festivals that require café operations support.
- Serve as the point person for internal and external partners in planning, executing, and evaluating these events to align with brand objectives and operational capacity.
Bar Operations
- Oversee daily operations of the coffee bar, ensuring exceptional customer service.
- Maintain inventory levels, order supplies, and manage stock to avoid shortages.
- Ensure compliance with health and safety regulations.
- Monitor and maintain the quality of coffee and other beverages served.
- Implement and maintain standard operating procedures for bar operations.
- Conduct regular staff meetings to address issues, communicate goals, and promote teamwork.
- Manage cash flow, monitor sales, and prepare financial reports.
- Ensure the cleanliness and maintenance of all equipment and the overall bar area.
Client Acquisition
- Identify and pursue new business opportunities for coffee cart services.
- Develop and maintain relationships with potential clients, including event planners, corporate clients, and wedding coordinators.
- Prepare and deliver presentations and proposals to potential clients.
- Negotiate contracts and agreements with clients.
- Attend industry events, trade shows, and networking events to promote our coffee cart services.
- Develop and implement sales strategies to achieve revenue targets.
- Maintain a client database and track interactions and sales conversions.
- Collaborate with the marketing team to create promotional materials and campaigns.
- Monitor market trends and competitor activities to identify opportunities for growth.
Customer Relationship Management
- Develop and maintain strong relationships with existing clients, ensuring repeat business.
- Respond promptly to client inquiries and provide exceptional customer service.
- Conduct follow-up communications post-event to gather feedback and address any concerns.
- Implement customer loyalty programs to enhance client retention.
Sales Profitability
- Analyze sales data to identify trends and areas for improvement.
- Develop strategies to increase sales and profitability.
- Monitor financial performance, ensuring that sales targets and profitability goals are met.
- Prepare and present regular reports on sales performance and profitability.
Conformance to Standards
- Ensure all operations conform to company standards and policies.
- Maintain high standards of quality and service in all aspects of the coffee cart and bar operations.
- Conduct regular audits and inspections to ensure compliance with health, safety, and quality standards.
- Implement corrective actions as necessary to address any non-conformance issues.
Management of Company Assets, Facilities, and Supplies
- Oversee the management and maintenance of company assets, including coffee carts, equipment, and supplies.
- Ensure all facilities are properly maintained and meet operational needs.
- Implement inventory management systems to track and control supplies and equipment.
- Coordinate repairs and maintenance of equipment and facilities as needed.
- Optimize the use of resources to minimize costs and waste.
Team Leadership and Development
- Lead and motivate a team of baristas and event staff, fostering a positive and productive work environment.
- Conduct performance reviews and provide ongoing feedback and coaching.
- Identify training needs and organize relevant training sessions.
- Promote a culture of continuous improvement and professional development.
- Inhouse Corporate Events
Covered Shift:
- Performs tasks, duties and responsibilities and covers shifts of colleagues in their absence.
Job Specification/s:
- Graduate of any 4-year course
- With at least 1-2 years working experience as events coordinator in a hotel or food and beverage industry.
- Excellent communication and community empathy skills.
- Strategic thinker who is able to work across departments.
- Willing to learn on the job to tackle new responsibilities.
- Excellent multitasking skills, critical thinker and problem-solving skills.
- Team player with good time-management skills.
